TERMS AND CONDITIONS OF WOODY PARK (HOLIDAY LODGES)

Terms and Conditions of Let Agreement 2017/18
Your booking should be for holiday purposes only unless otherwise agreed in writing. These properties must not be used for party purposes, weddings or filming without prior written agreement or email confirmation of same is acceptable. Your contract is between you and Woody Park Services (hereby referred to as “us” or “we”) and is subject to the following conditions. The properties are as described on our web site www.woodypark.co.uk. The accommodation is of a very high standard and will be returned in the same condition.

YOUR HOLIDAY LODGE

• You can arrive at your accommodation after 15.00 hrs on the start date of your holiday and you must have vacated the property by 10.00 hrs on your final day unless agreed otherwise by both parties. We would appreciate if on the day of arrival you would call or email to give us an ETA.
• You agree to keep the house clean and tidy and to leave it in a similar condition of cleanliness to when you arrived.
• The numbers in your party must never exceed the stated cabin capacity without express written prior consent.

METHODS OF PAYMENT

You can book with a credit card on this website, otherwise online BACS transfer is our preferred option for payment.
We accept BACS transfer payments, please ref your name on your payment so that we can cross reference for you, for example “John & Jane Smith”. We would ask that you email us once your BACS transaction has been instructed by you, so that we can check our account for the arrival of your deposit & email confirmation of this to you.

FUEL

All our lodges are centrally heated, we use low energy bulbs throughout the lodges and our own wood for the wood burners. Logs are provided free of charge & more will be provided on request.

DISPOSABLES PROVIDED

We provide all kitchen rolls, toilet rolls and rubbish sacks here at Woody Park, washing up liquid, surface spray and standard cleaning materials and implements. All our cabins have a dishwasher and we supply dishwasher tablets. If you run out, please ask for more. On arrival there is a supply of teabags, coffee, and sugar for your complimentary use.

SUSTAINABLE TOURISM

We are privileged to live in such a beautiful place and in keeping with our commitment to reducing, reusing and recycling where we can, to keep it this way for all, we have separate recycling boxes at each cabin which we encourage you to use for aluminium, paper, glass & plastic. Our toilets are all half flush/full flush options to reduce water usage where possible. The majority of electricity at Woody Park is generated by our solar panel system on The Old Hatchery.

WIFI/TELEVISION

Wi-Fi is an open network. All cabins have HD Smart TVs.

SMOKING

To respect the wishes of both smokers and non-smokers, please do not abuse the no smoking regulations at Woody Park. All lodges are specifically non-smoking, although you are welcome to smoke outside. Please dispose of cigarette ends considerately.

DAMAGES

Please report any breakages or damage during your stay so that they can be rectified at the time and before the next guests arrive. Accidents happen & minor breakages will not be charged, however we reserve the right to bill guests for excessive or malicious damage.

PETS

We have a strict no pets’ policy. Please to not bring your dog or any other animals as you will not be allowed to stay & no refund will be given under any circumstances.

RENTALS & CHARGES

In order to secure a booking you need to make an agreed deposit of at least 30% of the value of your booking, details of how to pay are listed above. On receipt of your deposit we will confirm your booking by email & acknowledge receipt of your deposit, with an account for the balance due, stating the date by which the balance must be paid in full. You are then responsible for the balance of the rental, which is due no later than 2 calendar months prior to your arrival. If booking less than 2 calendar monthss before your arrival, the full rental is payable upon booking.

Cancellation

 – Please ensure you are protected by your own insurance provider from the time of making your booking.
If you have to cancel your reservation you should email us as soon as the reason for the cancellation occurs. The day on which we confirm receipt of your email cancellation is the day on which your reservation is cancelled. This applies to cancellation through ill health, death, inability to travel due to weather disruptions or close family health matters that may be a reason for being unable to take up your holiday with us.
Please note that should you cancel your booking prior to the balance due date your deposit is forfeited in full. Should you cancel your booking after the balance has been paid in full, the full payment is retained by us and only at your request we will re-advertise your dates having the sole discretion of offering dates out a reduced rate to assist rebooking and every effort will be made to re-let your rental. In the event of successful re-letting of your dates you will receive 50% of the rental income gained from the re-advertised re-let fee. We suggest you ensure that your holiday insurance covers you in the event of any cancellation.

RIGHT OF ENTRY / USE OF HOT TUB

Except in emergency, we will always attempt to contact you first. We reserve the right to enter the property at an agreed time with the hirer to carry out any repairs or maintenance. An agreed entry time will be arranged for lets of over one week to provide a fresh linen change. We will need to periodically check the levels & very occasionally refill / refresh the hot tub water during the rental for your comfort. In the event that this is required it would be conducted as swiftly as possible with the minimal amount of disruption.

REPAIRS TO PROPERTY

Occasionally in rental properties damage due to possible wear and tear, an item of equipment may for some reason not be working (in the unlikely event of this) we would do our utmost to repair it as quickly as possible and we are here to ensure your holiday runs as smoothly and enjoyable as possible.
To improve the facilities we reserve the right to alter or amend the facilities made available at the lodges.

RESTRICTION ON RENTAL

We reserve the right to remove person or persons from our properties due to unreasonable behaviour, damage to a property or exceeding the stated occupancy (unless occupancy has been agreed by us direct and in advance of the let).

COMPLAINTS

We hope that you will not have any cause for complaint but in the event of a problem arising, you should in the first instance contact us immediately so that we be given the opportunity to rectify the issue. Most problems are very easily rectified if notified.

LIABILITY

We will have no liability for death, personal injury, or loss of, or damage to, personal property including motor vehicles. In the absence of any negligence or other breach of duty by us, the use by Tenants of any property or its facilities is entirely at their own risk.

ADVERSE TRAVEL CONDITIONS

In the event of severe flooding we cannot be held responsible for non-arrival or inability to depart the lodge and strictly no refunds will be given. Should these exceptional circumstances arise we would do everything in our capability to assist you to arrange alternative overnight accommodation with local accommodation providers where possible and you will be solely responsible for paying any alternative accommodation costs arising from this. We request all guests to have normal travel insurance in place at time of booking to cover any eventuality.

ADDITIONAL CANCELLATION

Each booking is made in good faith in the belief that the house will be available to the client on the date stated on the booking form.  If for any reason due to circumstances beyond our control the lodge is not available & we are unable to guarantee provision of alternative accommodation, a full refund of your original rental fee paid to us would be made. For the avoidance of doubt adverse weather conditions which may prevent travel for any reason, fog, delayed flights, ferry disruption, road closures are not deemed a circumstance beyond our control for this clause which would give rise to a refund. Normal holiday insurance is recommended at the time of booking as we cannot be held responsible for weather interruption to your travel arrangements.

LAW

The contract between you and Woody Park Services is subject to English Law and is formed in Woody Park, Bradfield, Cullompton, Devon. EX15 2RB.
Please ensure you have read and understand the terms and conditions of agreement for the rental of our cabins prior to paying your deposit.​
